How to Request Co-Sponsorship Support

The Office of the Vice Chancellor for Diversity, Equity & Inclusion is committed to supporting events and programs that foster respect and a sense of belonging for all members of our university community. Colleges and units seeking co-sponsorship by the Office of the Vice Chancellor for Diversity, Equity & Inclusion (OVCDEI) must complete and submit a request form. We accept requests two times a year.

The process for funding co-sponsorship is competitive, and OVCDEI must often choose between many worthy projects. We understand that each year valuable projects are not chosen due to limited resources.

OVCDEI will typically co-sponsor up to $1,000 per event or program.

Goals of Co-sponsorship

  • To create greater understanding across diverse lived experiences, ideas, and perspectives.
  • To broaden and strengthen the University of Illinois community.
  • To foster a welcoming climate of inclusion and belonging for all.

Eligibility

To be considered for co-sponsorship, the event or program should provide opportunities to better understand a range lived experiences and perspectives that can help to create a more inclusive and equitable society.

All requests must include  partner University of Illinois academic or administrative unit. This includes but is not limited to academic departments and colleges, Student Affairs units, and research institutes. Priority consideration will be given to new events or programs, programs that are primarily educational in nature, and programs that are open to the public without fee. Funds must be spent in accordance with university policy and procedure.

Final decisions on funding and eligibility are at the sole discretion of OVCDEI.

Funding Cycle

Co-sponsorship requests are reviewed twice a year and must be submitted with complete information through the co-sponsorship form.

2023–24 Request Schedule

  • Form opens for Fall 2023 Requests August 15, 2023. Deadline: September 15, 2023.
  • Form opens for Spring 2024 Requests November 15, 2023. Deadline: December 15, 2023.

Acknowledgement and Publicity

Acknowledgement of co-sponsorship on print or digital publicity materials is requested but not required. If including an acknowledgement on publicity materials, please use the following language: Co-sponsored by the Office of the Vice Chancellor for Diversity, Equity & Inclusion. Content or views expressed in the material showcased are those of the author(s) or creator(s) and do not necessarily reflect the views of the Office of the Vice Chancellor for Diversity, Equity & Inclusion.

Information about co-sponsored events may be included in the OVCDEI calendar, website, and newsletters.

Application Requirements

In the form, you will be asked to include:

  • Event/Program Title
  • Organizers
  • Collaborators (Names, Affiliations and Email Addresses)
  • Project Description (500 word maximum)
  • Anticipated Outcomes
  • Target Audience(s)
  • Anticipated Participation
  • Plans for Sustainability
  • Total Program Budget and Justification
    • Amount Requested from OVCDEI (up to $1,000)
    • Contributions from other sources
  • CFOP for Transfer (Must be State or ICR account).

To be eligible for review, co-sponsorship requests must be submitted with complete information by the deadline.

Budget

Please provide a budget for the overall program or event. Include a breakdown with major categories of expense. If you are seeking funding from multiple sources, please articulate if the event or program is contingent on unconfirmed contributions from other units.

Funding

Funds will be provided upon request in the fiscal year expenses are incurred and cannot exceed actual expenses for the project. Award funds must be used in ways that are consistent with the budget proposal. Re-allocation of award funds for purposes not delineated in the budget proposal must receive prior approval. Any funds that are not spent by July 1 of the awarded fiscal year must be returned to OVCDEI.

Support will be provided to academic and administrative units in the form to State and ICR funds only. Funds will not be transferred directly to RSOs. Documentation of expenses must be provided upon request from the OVCDEI.

Final decisions on funding, partial funding, and eligibility are at the sole discretion of OVCDEI.
